ODEI Co-Funding Program

Announcement

The Office for Diversity, Equity, and Inclusion (ODEI) is excited to continue its commitment to support UCSC activities, projects and events that reflect its mission to promote a campus that is diverse, equitable and inclusive.

Tier 1 Program: We will continue our existing co-funding program (known as “Tier 1”) where you can receive up to $500 from ODEI to help co-fund your event, activity, or project. This program is available to all campus constituents.

New Tier 2 Program: We have modified our Tier 2 program based on the systemwide climate study and consultation with the Senate Committee of Affirmative Action and Diversity (CAAD). This program is designed to provide co-sponsorship for faculty and graduate student projects or recruitment efforts related to advancing diversity and inclusion on campus. Proposals will be awarded up to $1,000 each. The Co-Funding Committee can approve more than two proposals if the requested amounts are less than $1,000.

All proposals must be submitted by a specified deadline to be considered for review (please see deadline dates below).

Decisions are made by the Co-Funding Committee, which, for the 2016-17 academic year, consists of Lucy Rojas, Campus Life/Dean of Students Office; Michael Yamauchi-Gleason, Porter and Kresge Colleges; Nicolle Laird, Physical & Biological Sciences Division; Suzanne Alonzo, Senate Committee on Affirmative Action and Diversity; Campus Diversity Officer for Staff and Students, Office for Diversity, Equity, and Inclusion.

I. TIER 1: CO-FUNDING PROGRAM:

This Tier 1 process serves to advance diversity and inclusion on campus where you can receive up to $500 from ODEI to help co-fund your event, activity, or project. This program is available to all campus constituents.

For this academic year, given limited funds, this program will approve approximately four (4) proposals per quarter for early fall, late fall, winter and spring. Funds that are not allocated in a given quarter will be carried forward to the next quarter to be allocated as deemed appropriate.

The Co-Funding Committee will review all proposals collectively after the deadline to determine which proposals best accomplish ODEI’s mission. Responses will be sent out to everyone who submitted a proposal by the response date indicated below. 

Proposals must be submitted by 5pm on each deadline to be considered.

Early Fall Deadline:

  • Proposal Deadline: October 10, 2016
  • Receive response by October 17, 2016

Late Fall Deadline:

  • Proposal Deadline: November 21, 2016
  • Receive response by November 28, 2016

Winter Deadline:

  • Proposal Deadline: February 20, 2017
  • Receive response by February 27, 2017

Spring Deadline:

  • Proposal Deadline: April 10, 2017
  • Receive response by April 17, 2017

NOTE: If your event is before the proposal deadline and/or response date, please know that given the number of proposals we can approve per quarter we must review all after the deadline to determine which proposals best accomplish ODEI’s mission. If you are approved, please make alternative arrangements to announce the co-sponsorship from ODEI (i.e., website, at the event, etc.) if you are not able to adjust the printed materials.

Criteria:

Activities, projects, and events that qualify for co-funding/co-sponsorship should have other funding sources and directly meet at least one of the following criteria:

  1. Foster a more diverse, equitable, and inclusive campus environment
  2. Support intellectual dialogue on campus in fields directly related to diversity, equity, and inclusion
  3. Bring people of different backgrounds together to participate in a campus event that celebrates and/or advances diversity, equity, and inclusion at UCSC

There is a $500.00 commitment cap per initiative. Also, each campus unit/organization can receive no more than two funding commitments per year.

Submission Process:

Proposals should respond to the following:

  1. Provide a description of the activity, project or event.
    • Date/dates of activity, project or event
    • Names of the activity, project or event organizers/leads (include campus affiliations) and/or sponsoring departments/organizations
    • Provide the most recent draft of the full agenda/program
    • Provide an overall planning timeline for your activity, project or event.
  1. What are you requesting funds for? Be specific (include names/titles of relevant talks/workshops/presentations).
  2. How does your activity, project or event directly meet the Office for Diversity, Equity, and Inclusion’s co-funding/co-sponsorship criteria?
  3. Who is the target audience and how many participants are expected?
  4. Provide your overall budget for the activity, project or event (include other funding sources and names of all sponsors).
  5. What is the amount of funding you are requesting and what will the funds be used for?
  6. By what date do you need the funds?
  7. How will you engage the campus?

II. TIER 2: CO-FUNDING PROGRAM: Faculty and Graduate Student Projects and Recruitment Efforts

We have modified our Tier 2 program based on the systemwide climate study and consultation with the Academic Senate Committee on Affirmative Action and Diversity (CAAD). This program is designed to provide co-sponsorship for faculty and graduate student projects, events, or recruitment efforts related to advancing diversity and inclusion on campus. This new program will build upon existing efforts and awarded proposals through our program.

Proposals will be awarded up to $1,000 each. We have set aside a total of $2,000 for this pilot-program this academic year. The Co-Funding Committee can approve more than two proposals if the requested amounts are less than $1,000.

Criteria:

The faculty or graduate student projects, events or recruitment efforts that qualify for co-funding must have other funding sources.

To qualify for the Tier 2 Co-Funding option, your proposal must directly meet at least one of the following criteria:

  1. Foster a more diverse, equitable, and inclusive campus environment
  2. Support intellectual dialogue on campus in fields directly related to diversity, equity, and inclusion
  3. Participate in recruitment efforts to increase the compositional diversity of faculty or graduate students on campus

Submission Process:

  1. Description of the project, event or recruitment effort (include proposed date if applicable).
  2. How will your project, event or recruitment effort meet the ODEI co-funding criteria?
  3. Who is the target audience and how many participants are expected?
  4. Provide your proposed overall budget for the project, event or recruitment effort (include other funding sources and names of all sponsors).
  5. How will you engage the campus?

The Co-Funding Committee will review all proposals collectively after the deadline to determine which proposals best meet the Tier 2 guidelines and accomplish ODEI’s mission. Responses will be sent out to everyone who submitted a proposal by the response date indicated below. 

There is a $1,000.00 commitment cap per proposal. Each faculty or graduate student can receive only one funding commitment per academic year.

NOTE: Faculty and graduate students are still encouraged to apply for Tier 1 funding, but cannot be approved for both Tier 1 and Tier 2 funding in the same academic year.

Fall Deadline:

  • Proposal Deadline: November 14, 2016
  • Receive response by November 21, 2016

Winter Deadline:

  • Proposal Deadline: February 6, 2017
  • Receive response by February 13, 2017
